Terms of Service
These terms govern any quote, order, drop-off, or mail-in service you use with Daily Pixel Box. Please read them before submitting your media.
Last updated: January 5, 2026 — Effective for all orders placed on or after this date.
These Terms of Service ("Terms") form an agreement between you and Daily Pixel Box ("we," "us," or "our"), a photo and videotape digitization studio located in Itabashi-ku, Tokyo. By requesting a quote, placing an order, or submitting physical media to our studio in person or by mail, you agree to be bound by these Terms.
1. Acceptance of Terms
By using our website, requesting a quote, or submitting media for digitization, you confirm that you are at least 18 years old, or are submitting media with the permission of a parent or guardian, and that you have the legal right to have the submitted content digitized. If you do not agree with these Terms, please do not use our services.
2. Description of Services
Daily Pixel Box provides digitization services for consumer videotape formats (including VHS, VHS-C, Betamax, Video8, Hi8, and MiniDV), 8mm and Super 8 home movie film, and photographic prints, slides, and negatives. Services include frame-by-frame capture, archival scanning, basic color and quality correction, file organization, and delivery via digital download, physical media, or cloud storage, as selected at the time of order.
3. Quotes and Orders
Initial quotes provided over the phone, by email, or through our website are estimates based on the information you provide and are subject to confirmation once we physically inspect your media. If inspection reveals additional items, damage requiring special handling, or a format different from what was described, we will contact you with a revised quote before proceeding, and no additional work will begin without your approval.
4. Submission and Handling of Physical Media
You may submit media in person at our Itabashi studio or by insured mail. Every item is logged and numbered upon intake and inspected for visible damage, mold, or tape degradation before any digitization work begins. We handle all physical media with care appropriate to its age and condition, but we cannot guarantee the successful digitization of media that has already deteriorated, was improperly stored, or has manufacturing defects unrelated to our handling.
5. Pricing and Payment
Pricing is based on the quantity, format, and condition of the media submitted, as reflected in your confirmed quote. Payment is due upon completion of your order and prior to release of physical originals and digital deliverables, unless other arrangements have been agreed to in writing. We accept the payment methods listed on our website at the time of your order.
6. Turnaround Time and Rush Service
Standard turnaround time is communicated at the time of your quote and depends on order volume and current studio workload. Rush service, where available, is offered at an additional fee and does not compromise the quality-control steps applied to every order. Turnaround estimates are not guaranteed delivery dates, though we will notify you promptly of any significant delay.
7. Intellectual Property and Ownership
You retain full ownership of your original media and the digitized files we produce from it. We do not claim any ownership interest in your content and will not use it for promotional or commercial purposes without your separate, explicit written consent. You represent that you own or have the right to digitize the content you submit to us.
8. Prohibited Content and Copyright
We reserve the right to decline or discontinue digitizing any media that we reasonably believe infringes third-party copyright (such as commercially recorded, non-personal broadcast content), contains unlawful material, or that we are not legally permitted to reproduce. Personal home movies, family photographs, and similarly sourced personal media are the intended and expected use of our services.
9. Limitation of Liability
While we take extensive precautions to protect your media, digitization inherently carries some risk with aging physical formats. To the maximum extent permitted by law, our liability for any claim arising from our services is limited to the amount you paid for the specific order giving rise to the claim. We are not liable for indirect, incidental, or consequential damages, including emotional distress related to loss of irreplaceable media, except where such limitation is not permitted by applicable law.
10. Media Loss or Damage
In the unlikely event that physical media is lost or damaged while in our custody due to our negligence, we will work with you in good faith on an appropriate resolution, which may include a refund of fees related to the affected item and, where possible, restoration assistance. We are not responsible for damage or deterioration that existed prior to submission, or for playback failures caused by pre-existing tape or film degradation.
11. Unclaimed Items
Completed orders and returned originals must be collected or have delivery arranged within 90 days of completion notice. After this period, we will make reasonable attempts to contact you using the details on file. Items unclaimed for more than 180 days after completion may be securely disposed of, and digital backups associated with unclaimed orders may be deleted.
12. Cancellations and Refunds
You may cancel an order before digitization work has begun for a full refund of any deposit paid. Once digitization work has started on a given item, fees for that item are non-refundable, though we will always inform you before beginning irreversible or chargeable work. If we are unable to complete an order due to circumstances within our control, you will receive a full refund for the incomplete portion.
13. Governing Law
These Terms are governed by the laws of Japan, without regard to conflict-of-law principles. Any dispute arising from these Terms or our services will be subject to the exclusive jurisdiction of the courts having authority over Itabashi-ku, Tokyo.
14. Changes to These Terms
We may revise these Terms from time to time to reflect changes in our services or legal obligations. The version in effect at the time you place an order will govern that order. Continued use of our services after an update constitutes acceptance of the revised Terms.
