Daily Pixel Box ("we," "us," or "our") operates a videotape digitization, film scanning, and photo archiving studio located in Itabashi-ku, Tokyo. By submitting an order, visiting our website, or dropping off physical media, you agree to the practices described below.
1. Information We Collect
We collect information you provide directly, such as your name, phone number, email address, and mailing or billing address when you request a quote, place an order, or contact our studio. If you ship items to us, we also collect the shipping details necessary to return your originals and finished archive. Our website additionally collects limited technical information automatically, including browser type, device type, and general usage patterns, as described in our Cookie Policy.
2. Physical Media and Digitized Content
When you submit tapes, film reels, prints, slides, or negatives for digitization, we handle the content of that media as strictly confidential. Digitized files are viewed by our technicians only to the extent necessary to perform quality checks, correct fading or color issues, and confirm the transfer completed successfully. We do not review, share, publish, or use the personal content of your media for any purpose beyond fulfilling your order, and we do not retain copies beyond the backup period described in Section 8.
3. How We Use Your Information
We use the information we collect to:
- Process and fulfill digitization orders, including intake logging, quote approval, and delivery of finished files.
- Communicate with you about order status, quotes, pickup or shipping arrangements, and any issues found with your media.
- Maintain accurate business, accounting, and tax records as required under Japanese law.
- Improve our studio operations, equipment, and website based on aggregated, non-identifying usage patterns.
4. Legal Basis for Processing
We process personal information in accordance with Japan's Act on the Protection of Personal Information (APPI). Our legal basis for processing your information is primarily the performance of the service contract formed when you place an order, alongside our legitimate business interests in operating and improving our studio, and compliance with applicable recordkeeping obligations.

Our website uses cookies to remember your preferences, keep the site functioning correctly, and understand how visitors use our services. 6. Sharing With Third-Party Service Providers
We do not sell personal information. We may share limited information with trusted third parties who help us operate our business, including shipping carriers who deliver physical media to and from our studio, cloud storage providers who host encrypted backups of finished archives, and payment processors who handle order payments securely. These providers are contractually bound to use your information only to perform the services we've engaged them for.
7. Data Retention
Physical media is returned to you upon completion of your order unless you request otherwise in writing. Digitized files delivered to you are removed from our internal working storage within thirty days of delivery, after which only a temporary backup copy remains for an additional thirty days to allow for re-delivery if a file is lost or corrupted on your end. Order and billing records are retained for the period required under Japanese tax and commercial recordkeeping law, generally seven years.
8. Data Security
We maintain administrative, technical, and physical safeguards designed to protect personal information and digitized content against unauthorized access, loss, or misuse. This includes access-controlled studio storage for physical media, encrypted transfer and storage of digital files, and staff training on confidentiality obligations. No method of storage or transmission is completely secure, and we cannot guarantee absolute security, but we take reasonable, industry-appropriate steps to protect your information at every stage.
9. International Data Transfers
Our studio and primary storage infrastructure are located in Japan. Where a cloud backup provider operates servers outside Japan, we select providers that maintain appropriate safeguards for cross-border data transfer consistent with APPI requirements, and we limit the data shared with such providers to what is necessary for secure backup and delivery.
10. Your Rights and Choices
You may request access to, correction of, or deletion of personal information we hold about you, subject to any legal retention obligations described in Section 7. You may also request that we stop using your information for a particular purpose, or ask questions about how your digitized content was handled. To exercise any of these rights, contact us using the details in Section 14, and we will respond within a reasonable time.
11. Children's Privacy
Our services are intended for use by adults placing orders on behalf of their families. We do not knowingly collect personal information directly from children. Family archives we digitize may naturally include photographs or footage of children, which we treat with the same confidentiality protections described throughout this policy.
12. Marketing Communications
We will only send you promotional or marketing communications if you have opted in to receive them, such as through the marketing cookie category described in our Cookie Policy or by explicitly subscribing. You can unsubscribe from marketing communications at any time using the link provided in each message or by contacting us directly.
